Photography and video recording are NOT permitted in the exhibit hall except by the Official Show Photographer or an approved Exhibitor Appointed Photographer.
Exhibitors and/or approved Exhibitor Appointed Contractors may photograph or record their own exhibits during show days ONLY.
Photography or video recording of any area outside an exhibitor’s booth (including but not limited to Registration Areas, Keynote Sessions, Conference Sessions, and Meeting Rooms) is prohibited.
If you are planning to use an approved Exhibitor Appointed Photographer, please complete and submit the online Photographer Approval Form found in the Exhibitor Hub.
Members of the press must first receive permission from the exhibitor to photograph the exhibitor’s booth.
All exhibitors must register for HCD exhibitor badges. Exhibiting companies receive one (1) exhibitor conference badge and two (2) exhibitor expo only badges per 100 sq ft. of booth space. Additional Exhibitor Conference badges are available for purchase for $999-$1,299, or Exhibitor Expo-Only badges for $299-$399, depending on the time of purchase. Exhibitor badges are for exhibiting company personnel only. If you would like to purchase an attendee pass for a customer, contact your account executive.
Exhibitor Service Manual
The first section of the manual provides a summary of important dates, policies, shipping details, and links to vendors. This is follow by detailed information on products and services available from Freeman and other vendors; this includes materials handling, electric, cleaning, lead retrieval units, and more. There’s an index along the left side of the screen to quickly find the topics you’re looking for. You can place orders and get more information from Freeman on their website.
Schedule Onsite Appointments with HCD Buyers
Coming soon! As an exhibitor at Healthcare Design, you have complimentary access to HCD Connect, our dedicated matchmaking platform. There, you will be able to view all the pre-registered attendees and schedule meetings with them prior to the event. Plan ahead and set your appointments before you arrive at on-site. The Nightingale Awards is a product design competition sponsored by Healthcare Design magazine in partnership with The Center for Health Design & The Healthcare Design Conference + Expo.
The competition is open to all HCD 2023 Exhibitors!
All information will be submitted via the digital entry process for The Nightingale Awards 2023.
It takes about ten minutes to review the entry rules, provide profile/contact data, and select a category for each entry, followed by about one hour to complete an entry once you have the descriptions and images ready to post.

EventSphere is the ONLY official housing provider for this event.
Beware of Housing Poachers!
In light of recent events, we wanted to take the time to reach out and affirm that EventSphere is the only official housing provider for the HCD Conference + Expo. If you are approached by someone representing any entity besides EventSphere, please alert EventSphere by emailing email@example.com. Booking with anyone other than EventSphere can lead to cancelled reservations, inflated rates charged to your credit card, and the inability to recoup any charges drawn.
The only entities that should be charging your cards are the official HCD Expo hotels – not these providers. Please know that booking with them leaves EventSphere out of control of guaranteeing your reservation for the show.
EventSphere has negotiated with top San Antonio hotels to provide HCD Expo members with guaranteed lowest rates – and anyone else claiming to have rates lower are attempting to scam you.

The Healthcare Design Conference + Expo is an annual conference focused exclusively on the design of hospital and clinic environments. The educational program is driven by industry experts who share case studies, research, best practices, and new approaches throughout the three-day learning experience.
To create the annual program, a call for presentations is opened, with submissions selected via a rigorous review process. All conference sessions must qualify for continuing education units, with four distinct learning objectives and one hour of content delivered.
The Center for Health Design is HCD's educational partner for the conference and manages the call for presentation process. Follow the link below to view the form on The Center’s website and submit a presentation proposal.
Top-of-mind topics for sessions include but are not limited to: patient safety and satisfaction, ambulatory care, remodeling, renovation and conversions, impact of technology, clinical perspectives, the high-performance hospital and sustainable practices, design for wellness, innovations in facility planning and management, design challenges and solutions, specialty facilities and departments (i.e., oncology, pediatrics, behavioral health, OR, ED), strategies for financing and operations, international trends and practices, and projects and initiatives that advance equality and social justice.
